inFlow Inventory and QuickBooks Online: a native, mostly one-way integration
inFlow Inventory has a native QuickBooks integration, built by inFlow, that works with QuickBooks Online and Intuit Enterprise Suite. It needs no connector such as Zapier. Data flows from inFlow to QuickBooks: sales orders become invoices, received purchase orders become bills, and inFlow updates the cost of goods sold and inventory asset accounts. The only data that can travel back is payments, if you choose the two-way payment setting.
The help center states that the US, Canada, UK and Australia editions of QuickBooks Online are supported. QuickBooks Desktop is not on inFlow's integrations list.

On the inFlow side, every plan qualifies. The pricing page says all plans include unlimited integrations, so Lite at $99 a month billed annually or $129 monthly, as read on 3 October 2026, is enough. See the plan breakdown for the rest.
On the QuickBooks side, the setup article says you may need a paid QuickBooks Online account and recommends a tier that includes journal entries, because refunds are recorded as journal entries. inFlow sends purchases as bills rather than purchase orders so that the integration works on more QuickBooks plans.
What syncs to QuickBooks Online and what does not

- Not synced: stock quantities, historical orders, quotes, custom fields, sales rep, item location, PO number on sales orders and customer or vendor credits.
- Created once, never updated: customers, vendors and products missing in QuickBooks are created on the first push. Later edits must be made in both systems.
- Serial numbers: not sent, because QuickBooks Online does not track them.
Setup steps in order
- Prepare QuickBooks. Make every product a non-inventory type. inFlow cannot work with QuickBooks inventory-type products, and mixing them can double-count stock value.
- Prepare inFlow. Confirm quantities and costs are correct, that the home currency matches and that each inFlow tax exists in QuickBooks.
- Connect. As an inFlow admin, open Integrations, choose QuickBooks Online under Core integrations, select Connect to QuickBooks, sign in and authorize.
- Map sales settings. Pick the product income account, the payment sync option, the payments account and match each tax.
- Map purchase settings. Pick the cost of goods sold and inventory asset accounts, and let inFlow create a dedicated inFlow Adjustments account. Do not reuse one QuickBooks account for two settings.
- Finish. Select the check and credit card payment accounts, then Complete.
For payments, the two-way option is the safest if staff record payments in both systems. The troubleshooting article links duplicate payments to the push-only setting.
A mistake to avoid: inaccurate stock value on day one
The moment purchase order push is switched on, inFlow overwrites the QuickBooks inventory asset balance with its own total. If inFlow holds 500 units at an $8 average cost, it pushes $4,000. If your books say $5,200 because of old or miscounted stock, QuickBooks changes by $1,200 with no warning. Run a count and fix costs first. The setup guide suggests checking the Inventory Details report with the total cost value column.
Two more limits matter. Do not change the costing method after connecting. And QuickBooks Online cannot apply one payment across several invoices through this integration, so each invoice gets its own payment.
What to check after connecting, and when to choose something else
- Invoice one sales order and find it under Sales in QuickBooks with the same number.
- Receive one purchase order and find the bill under Expenses.
- Compare the inventory asset balance with the inFlow total cost value.
- Open the QuickBooks Online integration page in inFlow and read any alerts.
This integration suits a business that wants inFlow to own stock and orders and QuickBooks to own the ledger.
