Build three separate totals
Create a recurring-cost section for the subscription, extra users, locations, connectors, capacity charges and essential add-ons. Create a one-time section for onboarding, data cleanup, labels, devices and external help. Keep internal staff hours separate so the cash budget and the workload remain visible.
For each line, record its source, billing currency, billing interval, tax treatment and whether it is optional or required for your proposed workflow. “Billed annually” is a payment commitment, not permission to assume monthly cancellation. Confirm renewal and cancellation terms directly before committing. Hardware credit should be counted only against equipment you actually need and can obtain under the offer.
Use current prices as a starting point
On September 24, 2026, inFlow's Inventory pricing lists annual-equivalent base tiers of US$129, US$349 and US$699 per month. Manufacturing is a separate product; do not use its prices as Inventory prices. Katana Core starts at US$299 per month, with usage and add-ons affecting the total. These are reference points, not quotes or a claim that the plans are equivalent.
Capture the exact configuration in writing. Ask which users need full access, which integrations count toward limits and how order capacity is measured. Price the exceptions that your demo uncovered. A low base charge is unhelpful if the mandatory workflow needs several additions.
A fictional first-year worksheet
Suppose a hypothetical system costs $240 monthly, requires a $600 setup package, and needs $350 of equipment. The software-and-equipment cash subtotal is $3,830 for the first year: 12 times $240, plus $600, plus $350. Taxes, payment fees and contingency are not included. These figures are illustrative and do not describe a merchant offer.
If cleanup and training require 30 staff hours, show those hours alongside the cash subtotal. You may attach an internal planning rate, but do not label it a realized saving or an additional cash payment unless that matches your business. Then run a second scenario with another location or doubled order volume to identify which costs change.
Choose the affordable scope, not an optimistic return
A defensible budget works without speculative revenue growth. Compare the plan against your current measured rework, known errors and operational requirements. Leave unknown savings blank. The decision may still be worthwhile because the current process cannot support reliable fulfillment, but that is different from a proven financial return.
Do not buy a larger system solely for a possible future warehouse. Equally, do not select an entry tier that immediately fails a mandatory location or permission requirement. A sensible next step is a fixed-scope pilot and a written exit plan: which records can be exported, what must be retained and who owns the transition.
