Fix the edition before comparing prices
Zoho publishes regional pricing and product documentation. The US pricing page reviewed September 24, 2026 lists a free plan and paid organization tiers with different order, user and location allowances. Unit conversion, stock counting, serial and batch features appear in its Premium feature list. That is not a promise about a different country's edition or every existing account.
Write your intended country, billing currency and connected accounting product at the top of the brief. Ask the vendor to confirm those details in the quote. Otherwise a low price from one regional page can be compared with features from another, producing a configuration that nobody actually sells.
Make the order-to-stock relationship explicit
Choose one order, one physical shipment and one invoice. Ask when each changes the stock position and what happens if they occur on different days. A business that invoices before dispatch must not confuse financial completion with physical movement.
Zoho's preferences documentation allows serial or batch collection against selected transaction types, including stock-movement or billing-related events. The evaluation question is which event your team can reliably record. Ask the proposed inFlow setup to show the same sequence. It is better to find a process mismatch during a demonstration than after the first month's reconciliation.
Test the existing ecosystem without assuming it solves everything
If you already use a business suite, list what data should move between applications and who owns each field. Product descriptions, tax settings, contact records and stock balances need not all be maintained in the same place. Ask how conflicting edits are resolved and whether deleting or archiving an item propagates.
For a fictional three-person wholesaler, test a partial delivery followed by a changed invoice and a return. Give both vendors the same initial quantities and expected final balance. Record any manual adjustment, the user who performed it and whether the explanation survives in the history. A familiar interface is useful, but it does not replace those checks.
Cost and fit: choose the supported configuration
A low-volume operation may find a limited or lower-cost edition sufficient; do not pay for advanced features simply because they appear on a comparison table. Equally, a requirement for several locations, particular traceability or more order capacity can change the necessary plan.
